SOFTWARE ENGINEERING

SaaS vs Custom Software

Understanding the difference between building a subscription product for the market and an operational platform for your own business.

Two Distinct Paths

Clients often approach us saying, "We want to build a SaaS." However, after a brief discovery call, we frequently realize they actually need Custom Enterprise Software. Understanding the difference is critical, as it completely alters the technical architecture, business model, and development approach.

SaaS (Software as a Service)

A SaaS platform is a product built to be leased to many different customers (tenants). Think Salesforce, Slack, or Shopify.

Key Characteristics

  • Multi-Tenancy: The core architectural challenge. The database must securely hold data for hundreds of different companies, ensuring absolute isolation between them.
  • Self-Serve Onboarding: Users need to be able to sign up, select a subscription tier, input their credit card, and start using the software without manual intervention.
  • Subscription Billing: Requires integration with complex recurring billing engines to handle upgrades, downgrades, prorations, and failed payments.
  • Generic Applicability: Features must be built to satisfy the common denominator of your target market, not customized for one specific user.
  • The goal: build once, sell infinitely. High upfront risk, massive scalability.

Custom Enterprise Software

Custom software is an internal platform built specifically to run your business. Think of a bespoke logistics routing system for a freight company, or a custom CRM integrated deeply with a hospital's patient database.

Key Characteristics

  • Single-Tenant: The database holds data for one organization (yours).
  • Hyper-Specific: The software is molded precisely to your unique operational workflows.
  • Deep Integration: It is usually wired into your existing legacy systems, accounting software, and operational hardware.
  • No Billing Engine: Because it is an internal tool, there is no need for Stripe integrations or subscription tiers.
  • The goal: operational efficiency, cost reduction, and competitive advantage. High upfront cost, guaranteed ROI through efficiency.

The Hybrid: Internal Tool Turned SaaS

Occasionally, a business builds custom software to solve its own operational headaches, realizes the solution is exceptional, and decides to package it as a SaaS to sell to competitors. This is a highly lucrative pivot, but requires a significant architectural rewrite to transition from single-tenant to multi-tenant.

At TRXN, we architect and build both. Understanding your core objective dictates the foundation we lay on day one.
